How to Manage Your Emails and Inbox

One of the biggest challenges we face in the workplace today is managing the amount of information and communication that comes into our inbox every day. One third – and in some cases, three quarters of the day is spent, in our inbox.

This not only gives way to poor productivity and loss of precious time otherwise spent on more important goals and projects, but gives way to frustration and poor time management.

Stay on top of your inbox and emails and not let it control your day and role with these simple tips:

Stay on top of your inbox and emails and not let it control your day and role with these simple tips:


1.    Don’t sit in your inbox.
In fact, don’t even start the day with email. Instead, work on projects for the first part of your day, and allocate a time, two or three times a day to go into your inbox. No, your emails don’t require immediate response. If its important, use the phone.

2.    Delete emails you don’t need. Small and unimportant communications and forwards that provide no reference or information relevant to you. People find it hard to delete emails, they are under the impression they’ll need to refer to one, one day. This is not the case.


3.    Delegate, decide when or do it.
When an email comes in pertaining to a task, at least decide what you’ll do with it when it comes in. Whether you chose to delegate it to someone else, or do it yourself, move it into your calendar so you can block out and be reminded of the time to get it it.


4.    Use folders and email rules.
Especially for newsletters and project/communication folders. Filing your emails as they come in means you’ll spend less time searching for what you need, when you need it in the future.

And finally, empty your inbox before you go home by following these simple rules. Because a clear inbox is a productive inbox.
